We spoke with Expensify about how automating the work before the ledger can give finance teams cleaner data and greater control over company spend.
For someone hearing about Double for the first time—what do you actually do, in plain English?
Expensify manages the workflows between employee spending and the accounting system. It brings receipt capture, expense coding and approvals, corporate cards, travel, bill pay, invoicing, and reimbursements into one environment, then connects that activity with accounting platforms such as QuickBooks, NetSuite, Xero, and Sage Intacct.
What’s breaking (or slowing down) for finance teams today—and why is it becoming harder to ignore?
A missing receipt seems like a small problem—until multiplied across hundreds or thousands of transactions. Finance teams can spend significant time chasing documentation, entering expense details, checking purchases against policy, matching card statements, and resolving coding issues before transactions are ready for accounting.
The downstream consequences are what make that work important. When expense data arrives late, incomplete, or incorrectly coded, reconciliation takes longer and month-end becomes harder to manage. Improving the process at the point where spending occurs can give accounting teams cleaner information before it reaches the ledger rather than asking them to correct it afterward.
Who tends to get the most value from this—and where does it typically click fastest?
Expense complexity can appear long before a company reaches enterprise scale. A growing workforce, frequent travel, multiple entities, international reimbursements, or employees using different corporate card programs can quickly create more administrative work for finance.
That makes the approach relevant across a broad range of organizations, with particularly common use cases in industries such as nonprofit, construction, consulting, real estate, technology, healthcare, and food and beverage. CFOs and Controllers may oversee the financial controls, while accounting teams, office managers, travel teams, and people operations often interact with the workflows day to day. Accounting and bookkeeping firms can also use the system across multiple clients.
If a finance team started using your approach tomorrow, where would they feel the impact first?
Receipt capture is often where the change becomes most tangible. Employees can photograph, email, or text a receipt, while SmartScan extracts details such as the merchant, date, total, currency, and applicable VAT, then helps code the expense and match it with the corresponding card transaction.
From there, automation can follow the transaction through reconciliation and approval. Bank feeds bring card activity into the system, policy and duplicate checks can flag exceptions, and approved expenses move toward reimbursement or the accounting system. The goal is to handle more of that work as spending happens instead of leaving finance with a pile of transactions to sort through at month-end.
How does this fit into the existing finance tech stack—and how does it hold up as the business grows?
Companies don’t necessarily have to replace their existing card programs or accounting systems to standardize expense management. Expensify connects with corporate card programs and banks while integrating with accounting and ERP systems including QuickBooks, NetSuite, Xero, and Sage Intacct. Connections with payroll, HR, travel, and other business applications extend that flow of information beyond accounting.
Growth can introduce additional entities, approval levels, currencies, card programs, and travel requirements. Rather than treating each as a separate implementation, those capabilities can be configured within the same environment as needs evolve. Expensify is also extending that model into AI: its Concierge AI and workflow agents are designed to handle more expense-management tasks through natural-language interactions, while MCP connectivity can make spend data accessible through compatible AI tools.
